How does the Asset Store work?
The Asset Store is essentially a searchable, online library of all your marketing materials and brand assets. The Asset Store will be configured based on your requirements (read more in On brand configuration), to provide users with dynamic filtering and text search to help locate required items. Once located the assets can be viewed / played, downloaded, distributed and reformatted, with all audit trails available on demand.
Asset access permissions
Bethebrand is permission based to a detailed level to ensure appropriate access. You decide which users see which categories / item types of assets- and what can they do with those assets (e.g. download, preview-only, share, distribute, see previous versions, etc.
Upload documents, videos, audio or image files, pdfs, images, source files - virtually any fiile type can be stored and shared using the asset store. Artwork and source files can be uploaded and stored with the associated as well.
Meta data fields & filtering
The data fields used to describe the asset (and drive search results) are completely configurable. Typical fields include item type, keywords, owner, use-by-date, version dates, product, target audience and channel information, URLs of external sites, approvers, stakeholders, region, print specifications and more.
You also decide how this data is captured - free form text, drop downs, tick boxes, calendar dates, on/off sliders, optional or mandatory, etc. We will work with you to ensure you capture all key meta data. But rest assured - adding new categories, filters or data to your Asset Store is quick and simple to do.
Searching for assets/ files
We've spent a lot of time developing our search engine to ensure it is ultra-responsive and thorough. Use a combination of free text, dynamic data filters and date sliders on demand (version date, item type, file type, owner, channel, next review date, etc) to hone in on your search results within seconds. You can also search within your documents - so finding all literature affected by new legislation or a change in your product offering is thorough and efficient. With the correct permissions, it is also possible to search through archived and pending items.
Preview all search results before you select which file(s) to download or distribute. Depending on your permissions, you can view the version history, key data and order stock / print, view print specifications and more. For more on the Print Procurement Module, click here.
All images can be cropped and resized before downloading. Choose between RGB or CMYK and choose the format and resolution of your image prior to download. This means images are only stored at the highest resolution and derivatives created on demand.
Sharing your assets
Distributing assets from the Asset store doesn’t use any bandwidth and no physical files will be sent. Single or multiple files can be sent to anyone via an email address. Your recipient will receive a branded email with a link to your server where they will download the files (the downloads are tracked for audit purposes) either individually or in a zip folder. You can set a date range whereby the asset is only available during that period of time.
Detailed asset usage visibility
Our suite of standard reports are comprehensive and useful. Discover which assets are most searched for, downloaded and shared - and by whom. Full version usage and history data is available as well as seeing who uploads and amends. Find out in advance when assets are due for review, expired or ready for archive (read more in Asset Lifecycle Management). By understanding how and by whom your assets are being used, you can plan future campaigns and minimise wastage.
